The Love, Baxter Memorial Tree Portal at trees.lovebaxter.com is run by Love, Baxter LLC, 1111 6th Ave Ste 550, PMB 646068, San Diego, CA 92101-5211. Veterinary practices and other pet businesses (our partners) use it to dedicate a memorial tree for a client who has lost a pet, and we deliver a certificate to that family. This page says what we collect, what we do with it, who else touches it, how long we keep it, and how to reach us. We never sell personal information.
Two kinds of people use the portal
- Partner staff sign in to dedicate trees and see their organization's activity.
- Families receive a certificate because their clinic or pet business dedicated a tree. The partner decides to send it; we deliver it on the partner's behalf, and we also keep delivery records and may send one reminder, described below.
What we collect
- From partner organizations: the organization's name, logo, contact and reply-to email addresses, the work email addresses of the staff who sign in, and billing contact details. Sign-in is by emailed link; we never store passwords. When someone accepts our Partner Terms we record who accepted, when, which version, and the IP address and browser used, as the record of the agreement.
- About families, entered by the partner: the client's name and email address, an optional mobile number for text delivery, the pet's name, who the dedication is from, an optional personal message, and the number of trees.
- Delivery records: whether the certificate email was delivered, opened or clicked, any bounce reason, and, when the certificate page is opened, the browser type and the page that led there. These let us fix delivery problems and show the partner that the certificate arrived.
- Text messages, when enabled: if a partner enters a mobile number, we send one text with the certificate link when the tree is planted, and we keep the delivery status and any reply (such as STOP). Details are on our text message consent page.
- Demo requests: if you try the sample certificate on our demo page, we keep your email address and IP address to limit repeat requests.
How we use it
- To plant the dedicated trees and track their status.
- To email the memorial certificate to the family on the partner's behalf, and to send one reminder if the certificate has not been opened after a few days.
- To show each partner its own dedications and delivery status.
- To calculate each partner's monthly invoice.
- To keep email delivery healthy, by looking at bounce and delivery patterns across recipients.
- To email partner staff about their account, their dedications and, unless they opt out, occasional product updates from Love, Baxter.
Who else touches the data
We use these service providers, each for the job named, and share with each only what that job needs:
- Vercel (hosting) and Supabase (database and sign-in).
- Resend (sending every email, including certificates and sign-in links).
- Kickbox (checking that a family's email address can receive mail before we send).
- Twilio (text messages, when a partner enters a mobile number and texting is enabled).
- Our tree-planting partner, which receives the pet's name and the partner organization's name for each order, and never the family's name, email address or phone number.
- Google Fonts (typefaces on the portal and certificate pages, which means Google receives the viewer's IP address).
- Klaviyo (partner staff email addresses and organization names only, for partner updates; families are never added).
- Slack and our founder's email inbox (internal alerts about new dedications and delivery problems, which can include a family's name and email address when a certificate bounces).
- The Love, Baxter directory, which receives each partner organization's name, contact email and tree counts so its directory listing can show them.
We do not sell, rent or trade personal information. Partners see only their own organization's data; Love, Baxter administrators can see all of it to run the service.
Certificate pages
Each certificate lives at a long, unguessable web address so a family can share it. Anyone with the link can open it. Certificate pages are marked so search engines do not index them, but the link itself is not password protected.
How long we keep it
- Planted dedications are permanent by design. The tree has been planted in the pet's name and the record of it stays, so partners and families can look back on it. On request we will replace the family's name and email address in that record with "a family" so it no longer identifies anyone.
- Dedications that have not yet been planted can be edited, exported or deleted on request.
- Delivery records and text message logs are kept with the dedication they belong to.
- Partner accounts and staff logins are kept while the partnership is active, then removed on request.
- Demo request records are kept to limit repeat requests; email us to have yours removed.
- Our database provider keeps encrypted backups for seven days, and we keep our own periodic copies under Love, Baxter's control.
Your rights and choices
You can ask us what we hold about you, ask us to correct it, ask us to delete it or, for a planted dedication, to anonymize it. California residents have the rights described in the Love, Baxter Privacy Policy, which also covers this portal. Email adam@lovebaxter.com or support@lovebaxter.com and we will answer within 45 days. If a partner entered your details, questions about why they did so should go to that partner. Partner staff can turn off reminder and update emails from the link in those emails; account and certificate emails still arrive.
Security
All traffic is encrypted. Each partner organization's data is isolated at the database level, sign-in links expire and work once, and access to the full system is limited to Love, Baxter administrators. If we learn of a security incident affecting your information, we will notify affected partners and people as the law requires.
Children
Portal accounts are for adults at partner organizations. Family details are entered by those adults; we do not knowingly collect information directly from anyone under 18.
Changes
When this page changes we update the date at the top. Material changes are announced to partners by email or in the portal.
